The existing system allowed staff to generate documents from Word and Excel templates, but much of the process still relied on manual input. Data had to be copied from the internal database, files saved in the correct format, and PDFs generated by hand. The underlying structure was sound, but the process needed to be faster, more consistent, and easier to maintain.

We modernised the system by automating the most time-consuming parts. Document templates now pull in live data automatically, generating files with the right content and formatting—no more copying and pasting. Where needed, files are converted to PDFs as part of the process.

Although a folder structure already existed, it relied on users to choose the right destination and apply consistent naming. We introduced automatic file categorisation, making sure each document is tagged correctly and stored in the right place. Each file is also linked to the relevant record in the system, making it easy to access, download, or email—without leaving the platform.

What was once a series of manual steps now runs quietly in the background. The result is a faster, more reliable document workflow that reduces admin, improves accuracy, and fits neatly into the way the team already works.
